Invicto Service LLC ("Invicto Service", "we", "us") is a recruitment and career support firm. We help US companies hire for IT and non-IT roles, and we help professionals find their next role. Looking after candidates' personal information is central to what we do. This policy explains what we collect, why we collect it, how we protect it, and the choices you have.

Our promise on candidate data

• We never sell, rent or trade your personal information, to anyone, for any reason.
• We never send your CV or personal details to an employer, client, vendor or other recruiter without your explicit permission for that specific opportunity. We tell you the company and the role first, and we only present you after you say yes.
• We do not post your CV on job boards or public databases.
• We do not use your information for advertising, and we never pass it to marketing companies.

Information we collect

From candidates

• Contact details: name, email address, phone number and location
• Your CV and what it contains: work history, education, skills, certifications and projects
• Job preferences: the roles you want, rate or salary expectations, availability and preferred locations
• Work authorization status, where a US role requires it. We only ask for what a specific role needs.
• Notes from our conversations and mock interviews, and feedback from interviews you attend
• References, only if you choose to give them to us

From clients

• Business contact details of the people we work with
• Information about the roles you are hiring for

From website visitors

• Whatever you send through our contact form, including any CV you attach
• Basic technical information recorded by our hosting provider, such as IP address and browser type, kept for security

We do not ask for sensitive information such as race, religion, health, sexual orientation or political views, and we ask you not to include it in your CV. We never use it in recruitment decisions.

How we use your information

• To reply to your enquiry and provide the services you asked for
• To match you with suitable roles and, with your permission, present you to that employer
• To prepare you for interviews and give you feedback
• To keep records of our services and payments
• To keep our website and systems secure
• To meet our legal obligations

Who can see your information

Your information is seen only by authorized members of our team who need it to work with you.

To run our business we use a small number of trusted service providers, such as secure database and file hosting and email delivery. They process data only on our instructions and only to provide their service to us. They are not allowed to use it for their own purposes, and they never receive it to sell or market to you.

We will disclose information only if the law requires it, for example in response to a valid court order.

How we protect it

• CVs are kept in private storage that only authorized staff can open
• Our systems require individual, secure logins
• Data is encrypted in transit and at rest
• We collect only what we need, and delete what we no longer need

Where your data is stored

Our database and files are hosted by Supabase in a data center in Mumbai, India. Your information may therefore be stored and processed outside your own country, protected by the safeguards described in this policy.

How long we keep it

We keep candidate information while we are working with you, and for up to 24 months after our last contact so we can tell you about suitable roles. You can ask us to delete it sooner at any time. We keep business and payment records for as long as the law requires.

Your rights

You can ask us to:

• Show you the personal information we hold about you
• Correct anything that is wrong
• Delete your information
• Stop presenting you to employers, or stop contacting you

Email info@invictoservices.com with your request. We will respond within 30 days, and there is no charge. Depending on where you live, for example California or another US state with privacy laws, the EU, the UK or India, you may have additional rights under your local law, and we will honor them.

Cookies

Our website does not use advertising or tracking cookies. The only cookies we set are the essential ones that let our own staff sign in to our admin area.

Children

Our services are for adults who are hiring or looking for work. We do not knowingly collect information from anyone under 16.

Changes to this policy

We may update this policy from time to time. The date at the top of this page shows when it last changed. If we make a significant change, we will let the candidates we are actively working with know.
